The Ministry of Assisted Living and Social Services (ALSS) leads housing, assisted living and continuing care, seniors, income, employment and homelessness supports, disability services, and other social-based programs. For more information about ALSS, visit our website: https://www.alberta.ca/assisted-living-and-social-services The Common Service Delivery (CSD) branch holds expertise in delivery of centralized, citizen centered services, including contact center and benefit administration services. CSD delivers centralized services on behalf of other program areas within ALSS as well as other Ministries across the Government of Alberta. Role Responsibilities The HBEC Support is responsible for providing administrative and program support services to the Health and Funeral Benefits Unit (HFBU) to ensure the accurate, timely, and efficient delivery of benefit programs, including Health Benefit Exception Committee (HBEC) requests for Alberta Health Benefits, AISH, and Income Support clients. The HBEC Support applies in-depth knowledge of program policies, procedures, and legislation, as well as records management standards, to manage the intake, processing, and distribution of applications and supporting documentation. This position requires discretion, attention to detail, and the ability to respond effectively to changing priorities to prevent delays in benefits delivery to vulnerable Albertans. Reporting to the HFBU Supervisor, the HBEC Support also performs a variety of administrative functions including monitoring program inboxes, scanning and indexing documents, preparing work items for distribution, and coordinating outgoing correspondence. The position serves as a primary administrative link between internal staff, committees, and external stakeholders to ensure the smooth processing of HBEC requests. You will also be responsible for the following, but not limited to:

  • Review and process HBEC applications and supporting documentation for eligibility and completeness.
  • Verify drug eligibility and maintain accurate records in program databases and SharePoint.
  • Prepare and forward requests for committee review and manage misdirected forms.
  • Monitor program inboxes, mail, and faxes; scan, upload, and index documents.
  • Assign work to Assessors and ensure proper tracking of tasks in the imaging system.
  • Prepare and distribute outgoing correspondence and respond to client inquiries.
  • Maintain records and support office administration, including supply management.
  • Provide guidance and training to administrative support staff and support process consistency.
  • Generate reports and contribute to process improvements within HBEC operations.

Qualifications High school diploma and two years of related experience Equivalencies will be considered as directly related education or experience based on 1 year of education for 1 year of experience or 1 year of experience for 1 year of education. The Following Are Requirements For The Position

  • Possess in-depth knowledge of all applicable legislation, regulations, policies, criteria, guidelines, processes and procedures for client funding and to determine eligibility and calculate assessments.
  • Working knowledge of administrative and office support practices, including records management and document control.
  • Familiarity with program policies, procedures, and legislation related to health and social benefit programs.
  • Understanding of client service principles and effective communication with internal and external stakeholders.
  • Proficiency in database management, electronic document systems, and standard office software (e.g., Microsoft Office, email, SharePoint).
  • Ability to apply attention to detail, organizational skills, and time management in a high-volume, deadline-driven environment.
