The pay range for the role is $62,600 to $104,300, with the target pay being $83,400 for candidates who are fully qualified for the role. Plus bonus, comprehensive benefits, retirement savings plan, paid vacation, and other perks and opportunities.
Job Description:
The Administrative Assistant provides high-level administrative support to four members of the management team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will handle sensitive information with discretion and anticipate needs to ensure smooth operations.
Responsibilities:Calendar Management:
- Organize and maintain calendars for four management team members.
- Schedule meetings, appointments, coordinate logistics and expense reporting.
Event Planning & Coordination:
- Lead all event logistics for the annual Fall Recipe Summit, bi-annual Gay Lea Leadership Meeting offsites, and the annual holiday gathering.
- Lead planning for various other internal and external events, including offsite meetings and team gatherings.
- Manage vendor relationships and handle catering and travel arrangements.
Travel & Logistics:
- Arrange travel itineraries, accommodations, and transportation.
- Prepare detailed itineraries and ensure cost-effective solutions.
Confidentiality & Compliance:
- Maintain strict confidentiality of sensitive information.
- Ensure adherence to company policies and procedures.
Special Projects:
- Assist with ad-hoc projects and initiatives as directed by management.
Qualifications:
- Bachelor's degree in business administration or a related field is preferred
- A minimum of 5 yearsâ experience in an executive support role
- Proven experience in an executive assistant role
- Self -starter, proactive thinker
- Excellent organizational and time-management skills
- Strong communication abilities, both written and verbal
- Proficiency in office software such as MS Office, and experience with virtual meeting platforms
- Ability to multitask and re-prioritize tasks effectively
- Discretion and confidentiality are paramount
