Position Overview
Reporting directly to a Partner, the successful candidate will oversee residential real estate transactions from initiation to completion, including purchases, sales, and refinancing matters. This position plays a key role in ensuring transactions are completed efficiently, accurately, and in compliance with all legal requirements.
Key Responsibilities
- Manage residential real estate files throughout the entire transaction process, including purchases, sales, and refinances.
- Conduct client intake, conflict searches, and new file openings.
- Coordinate appointments and maintain calendars for legal professionals.
- Prepare, review, and organize closing documents and supporting transaction materials.
- Review title searches and property-related information.
- Liaise with clients, lenders, real estate agents, and other third parties to facilitate transactions.
- Prepare statements of adjustments and coordinate mortgage payouts, trust transactions, and wire transfers.
- Maintain organized electronic and physical records, process correspondence, and manage property searches, tax certificates, and related administrative tasks.
- Provide support to other members of the real estate team as required.
Qualifications
- Minimum of two years of experience independently handling residential purchase, sale, and refinance transactions.
- Completion of a Legal Assistant or Paralegal program is considered an asset; equivalent practical experience will also be considered.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
- Excellent interpersonal and communication skills with the ability to work confidently with clients and external stakeholders.
- Self-motivated, adaptable, and able to work both independently and collaboratively.
- Proficiency with Microsoft Office applications and comfort learning new technologies and legal software.
