Chernos Flaherty Svonkin is a commercial litigation boutique located at Bay & Wellington in downtown Toronto. We are recruiting an experienced Litigation Assistant to join our team. This is a full-time, permanent opportunity with core work hours of Monday to Friday, 9:00 a.m. to 5:00 p.m.
What We're Looking for:
- A legal assistant with at least 5 (five) years of experience supporting corporate-commercial litigation lawyers
- Legal Administrative Assistant Diploma from a recognized college preferred
- Highly organized, personable, and a team player
- Tech-savvy with expertise in PCLaw, Microsoft Office, Microsoft Outlook 365 & Calendar, Legal Tracker, Case Center and electronic Court filing
- Experience preparing pleadings, motion records, facta, books of authorities, affidavits, tables of contents, bookmarking, and hyperlinking
- Working knowledge of the Rules of Civil Procedure and litigation procedures
- Familiarity with scheduling and filing processes in the Ontario Superior Court of Justice and Court of Appeal
- Excellent written and verbal communication skills
- Ability to exercise discretion and maintain confidentiality in dealing with client matters
Key Responsibilities:
- Prioritizing and assessing team needs, providing support as required
- Opening and closing files electronically and physically, and maintaining the electronic filing system
- Corresponding with clients and external parties
- Preparing draft correspondence, court materials and other documents
- Managing and tracking deadlines, scheduling calls, hearings, video conferences, and Court dates
- Arranging travel including car rentals, flights, hotels and conference registrations
- Monthly client billing and follow-up, including preparing prebills, finalizing accounts, monitoring fee estimates/budgets and quarterly reporting, and adhering to client billing guidelines
- Attending to payments of third party invoices and disbursements
- Compiling document briefs and materials (electronic and physical)
- Arranging for service and filing of legal documents with the appropriate courts, including electronic filings, and related instructions to process servers/agents
- Uploading and hyperlinking documents in Case Center
- Entering dockets, disbursements, and preparing expense reports
- Admin tasks, including filing, updating client database, and maintaining client files
