The Role
As a Marketing Specialist (Email & Lifecycle), you will own and execute Virtual Hallway’s email and lifecycle marketing programs. This role is highly executional and impact-driven, focused on turning content, campaigns, and ideas into clear, timely, and effective communications.
You’ll be responsible for building and managing email flows, newsletters, and email campaigns that support clinician engagement, education, and activation from onboarding to ongoing engagement. You’ll work closely with the Creative Brand Manager and collaborate cross-functionally with product, business development, and operations teams.
This is an in-office role ideal for someone who thrives on structure, consistency, and getting things shipped, while still bringing creativity and thoughtfulness to how we communicate.
Key ResponsibilitiesEmail & Lifecycle Marketing
- Build, manage, and optimize email marketing flows (onboarding, engagement, reactivation).
- Own recurring newsletters, including sector- and audience-specific editions.
- Execute one-off and campaign-based email sends tied to product launches, CME content, and platform updates.
- Maintain and update email templates to ensure brand consistency and usability.
- Manage email scheduling, QA, testing, and deployment.
Content Execution & Publishing
- Write and edit clear, engaging copy for emails, newsletters, and lifecycle communications.
- Update and publish blog content in collaboration with internal teams.
- Ensure messaging is accurate, timely, and aligned with Virtual Hallway’s brand voice.
Design & Asset Coordination
- Apply basic design skills to email layouts and visual assets as needed.
- Collaborate with creative resources to ensure emails and content are visually effective and on-brand.
- Adapt existing assets for use across email and lifecycle touchpoints.
Campaign & Event Support
- Support marketing campaigns tied to events, webinars, and conferences.
- Coordinate timelines and assets to ensure smooth execution.
Performance & Optimization
- Drive and report on email performance (open rates, CTRs, engagement trends).
- Use insights to suggest improvements to subject lines, content structure, and flows.
- Maintain clean lists and segmentation to support relevant communication.

Required Experience & Skills
- 2–4+ years of experience in email marketing, lifecycle marketing, or digital marketing.
- Hands-on experience building and sending emails using marketing automation tools (e.g. Klaviyo, HubSpot, or similar).
- Strong copywriting and editing skills.
- Experience managing newsletters and recurring communications.
- Comfortable working with basic design tools or templates such as Canva.
- Strong attention to detail and QA discipline.
- Ability to manage timelines and prioritize effectively in a fast-paced environment.
Nice to Haves
- Familiarity with healthcare, education, or regulated industries.
- Experience supporting events.
- Basic data analysis skills related to email performance.
- Experience working in a startup or high-growth environment.
