Information Access and Privacy (IAP) Specialist, Public Sector

Our platform supports municipalities, police services, and government institutions across Canada in meeting complex legislative and regulatory requirements. Recent changes to information access and privacy legislation have created real momentum for the business.
We're adding an Information Access and Privacy (IAP) Specialist to lead how our customers learn, adopt, and get value from our FOI and PIA software. This role sits at the intersection of privacy practice and customer success. You'll onboard and train new customers, support them as their day-to-day use of the platform, run regular information sessions, represent Vayle at conferences and customer events, and bring what you hear from customers back to the product team. You'll work closely with the Founder and CEO and the broader team, with direct visibility into product direction, customer relationships, and company strategy.
This role is built for a practitioner who pays attention to the details. You've worked inside Canadian public sector access and privacy programs, you know the legislation and the day-to-day realities of running an FOI or PIA function, and you want to help others do it well. You explain legislative requirements and software workflows clearly to coordinators, clerks, privacy officers, and senior leaders alike, and you're as comfortable presenting to a room as you are walking one customer through a tricky file. What you'll do
Customer onboarding and training
- Lead onboarding for new Vayle customers on our FOI and PIA software, from kickoff through go-live
- Design and deliver role-based training for FOI coordinators, privacy officers, clerks, records staff, and administrators
- Help customers map their existing access and privacy workflows onto the platform, including request intake, clock management, fee estimates, redaction, decision letters, and PIA reviews
- Build and maintain training materials, guides, and quick-reference content
Customer support
- Serve as a primary point of contact for customer questions about product use and the access and privacy context behind them
- Troubleshoot issues, reproduce them, and work with Engineering, QA, and Account Management to resolve them
- Document support cases and recurring questions so the team and the product improve over time
Product guidance and input
- Bring deep knowledge of MFIPPA, FIPPA, and related legislation to product discussions so workflows, templates, and timelines reflect how the law actually operates
- Translate customer feedback, pain points, and legislative changes into clear recommendations for the Product team
- Review new features and releases from a practitioner's perspective before and after they ship
Customer engagement and community
- Lead regular information sessions for customers on product updates, legislative developments, IPC decisions, and best practices
- Proactively check in with customers to understand how they're using the platform and where they need help
- Build a community of practice across Vayle's customer base
Conferences and events
- Represent Vayle at access and privacy conferences, sector events, and customer gatherings
- Present sessions, host demonstrations, and build relationships with practitioners across the sector
AI-assisted problem solving
- Use AI tools as part of day-to-day work to prepare training content, analyze customer questions, summarize legislative changes, and draft communications
- Apply AI thoughtfully as a force multiplier while maintaining sound professional judgment on access and privacy matters
What you bring
Required
- Significant hands-on experience in a Canadian public sector access and privacy role, such as FOI coordinator, privacy officer, records and information manager, or access and privacy analyst, ideally at a municipality, police service, school board, or provincial institution
- Strong working knowledge of MFIPPA and FIPPA, and familiarity with related legislation such as PHIPA, the federal Access to Information Act and Privacy Act, or equivalent legislation in other provinces
- Practical experience running the full FOI request lifecycle, including intake, searches, third party notices, fee estimates, time extensions, exemptions, severing, and decision letters
- Experience conducting or coordinating Privacy Impact Assessments
- Excellent communication and presentation skills, with the ability to explain legislative requirements and software workflows to both practitioners and non-specialists
- Comfort learning and teaching software, and an interest in how technology improves access and privacy programs
- A customer-first mindset, patience, and the organization to manage many customer relationships at once
- Ability to travel periodically within Ontario and occasionally across Canada for conferences and customer events
Preferred
- Privacy credentials from an accredited body such as the IAPP (CIPP/C, CIPM, or CIPT)
- Experience using FOI or PIA case management software in a practitioner role
- Experience training or onboarding staff, delivering workshops, or presenting at sector events
- Familiarity with IPC Ontario decisions, guidance, and statistical reporting requirements
- Bilingual in English and French
Location and working arrangement
This is a work-from-home position. Candidates based in or around Toronto are preferred, as the role includes periodic in-person meetings at our downtown Toronto office along with travel to conferences and customer sites.
