We’re currently looking for a Project & Engagement Coordinator to join our Community Impact & Partnerships team.

Reporting to the Operations Manager, Children & Youth, the Project & Engagement Coordinator provides administrative and coordination support to ensure the smooth execution of activities and operations across the Children & Youth portfolio. This role supports scheduling, logistics, internal communication, and basic reporting functions across school- and community-based initiatives. The Coordinator works under the direction of the Operations Manager and the Director, Children & Youth Strategies to assist with organizing team operations, tracking tasks, and maintaining tools and templates that keep the team on track and aligned. This position may occasionally require evening or weekend work to support community events, workshops, or engagement activities.

What you will do:Coordination & Logistics

  • Coordinate scheduling, logistics, and follow-up for internal and external meetings, engagement sessions, and workshops.
  • Assist with planning and execution of school and community events, including preparing materials and organizing logistics.
  • Arrange travel for team members and support related documentation, itineraries, and expense reconciliation.
  • Track deliverables and follow-up tasks to support day-to-day execution across initiatives.

Administrative & Systems Support

  • Maintain up-to-date stakeholder records, meeting notes, and participation data using tools such as Salesforce, Excel, and Mural.
  • Support internal systems like MS Planner, SharePoint, and shared drives to organize resources and track progress.
  • Prepare and submit expense reports, process invoices, and assist with contracting and cheque requisitions.

Communications & Documentation

  • Assist with the preparation of basic reports, presentations, and templates for internal use and external sharing.
  • Maintain shared documents and communication templates in collaboration with the Operations Manager.
  • Track ethics-related documentation and provide support for survey logistics and research coordination

Team & Partner Support

  • Support onboarding and internal communication processes to ensure teams are aligned and informed.
  • Liaise with community partners, schools, and other departments to coordinate logistics or share updates when required.
  • Provide administrative assistance to the Director, Children & Youth Strategies as needed, including calendar management and document preparation.
  • Arrange travel, including logistics preparation, materials preparation and appropriate follow-up.
  • Support with event planning and execution including community events, school events and meetings.
  • Liaise with other departments and work cross functionally as required.
  • On occasion, be available for evening or weekend work to support community events, workshops, or engagement activities.

What you will bring:Experience:

  • A minimum of three to five years of progressively responsible administrative experience in office and administrative procedures.
  • Project coordination experience considered an asset.
  • Prior non-profit and executive office environment experience is preferred.
  • Proficiency in Microsoft Office Suite software, including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Familiarity with Calgary and greater Treaty 7 area, specifically with regards to youth engagement and community development.
  • Experience in the social services sector considered an asset.
