About the role

Who You’ll Be Joining

A national, privately held organization serving commercial and industrial clients across Canada. Many of its people stay for years. The team is close-knit, and new employees get the support they need to do well. With the business growing, they’re adding an organized, accuracy-focused administrator to the branch.

About the Position

You’ll be the go-to person for the branch’s accounting and office administration. You’ll partner with sales, project coordinators and customers to keep transactions accurate and the office running well. If you like a varied workload, steady deadlines and getting the numbers right, you’ll do well here.

Your Responsibilities

Accounts Payable & Receivable

  • Review, code and post supplier bills, including freight and product charges, so payments go out on time.
  • Capture the full cost of each sale, including materials, shipping, duties and any credits.
  • Create and issue customer invoices, and follow up on overdue balances.
  • Post incoming payments, cheque deposits and credit card sales, and keep receivables reporting current.
  • Look into and resolve pricing, billing or shipment discrepancies with vendors, customers and sales staff.
  • Handle credit applications for new accounts and prepare them for management review.

Inventory & Month-End

  • Record stock movements between branches throughout the month and reconcile them at close.
  • Support the warehouse team with purchasing and enter the related transactions.
  • Help with inventory counts twice a year, including entering counts and posting adjustments.
  • Calculate and report month-end accruals for unbilled revenue, open invoices and in-transit stock.
  • Complete closing tasks on schedule, and pull data for reports and audits.

Office Coordination

  • Be the first point of contact for visitors, callers and customers, and route inquiries to the right person.
  • Manage shipping and receiving of mail, parcels and courier deliveries.
  • Keep order documents organized and accurate, including confirmations, packing slips, tracking details and invoices, in both paper and digital files.
  • Prepare internal updates and reports.
  • Keep the office organized and help colleagues with other administrative tasks as needed.

What You Bring

  • 3–5 years in an administrative or bookkeeping role with a strong focus on AP and AR
  • A solid grasp of three-way matching (purchase order, receiving and invoice)
  • A certificate or diploma in bookkeeping, accounting or office administration is preferred
  • Comfort with Microsoft Office, including basic Excel formulas and data entry
  • Experience with ERP or accounting software is an asset, and full training is provided
  • Strong attention to detail, clear communication and the drive to take ownership of your work
