Position Overview

We’re looking for a hands-on Executive Assistant & Project Coordinator who thrives in a fast-paced, ever-changing environment. This isn’t your typical EA role — you’ll be rolling up your sleeves, juggling multiple priorities, and keeping high-stakes projects moving forward while making sure the CEO is always one step ahead.

The right person is resourceful, gritty, and adaptable. You’ll wear many hats — calendar guardian, project driver, problem solver, and trusted partner to the CEO. If you like being at the center of the action, finding smart solutions, and getting things done no matter what, this role is for you.

Key ResponsibilitiesExecutive Support

  • Own and optimize the CEO’s calendar, priorities, and communications.
  • Anticipate needs and solve challenges before they become problems.
  • Act as a trusted point of contact with internal teams and external partners.
  • Manage travel, logistics, and critical details to keep things running smoothly.
  • Handle sensitive and confidential matters with discretion.

Project Coordination

  • Drive cross-functional projects, ensuring deliverables don’t fall through the cracks.
  • Roll up your sleeves to build timelines, assign owners, and chase follow-ups.
  • Connect the dots between teams (finance, legal, operations, product) to keep momentum.
  • Simplify chaos — turn big ideas into clear, actionable steps.
  • Keep the CEO and leadership updated with progress reports and next steps.
  • Proven experience in office event coordination, corporate branding initiatives, and large-scale tradeshow organization.

What We’re Looking For

  • Proven experience as an Executive Assistant, Project Coordinator, or similar role.
  • Strong organizational skills with a bias for action.
  • Clear communicator who can cut through noise and keep things moving.
  • Comfortable juggling multiple priorities in a fast-changing environment.
  • Proactive problem-solver with good judgment and common sense.
  • Thrives under pressure and loves to “roll up their sleeves.”

Nice-to-Haves

  • Experience in a startup or high-growth company.
  • Exposure to project management tools (Asana, Trello, Notion, etc.).
  • Background in healthcare, tech, or operations.
