We're hiring an Executive Assistant & Operation Manager to be the operational backbone of Toronto office and a force multiplier for leadership.
This is not a traditional EA role. We're looking for someone who is sharp, analytical, and commercially minded, and someone who can run the office, support executive workflows, assist with finance and administrative operations, and plug into business development and cross-functional projects when needed. You'll be a key part of how functions day-to-day and a trusted extension of the leadership team.

ResponsibilitiesExecutive Support
- Manage calendars, travel, and logistics for leadership with precision and proactivity.
- Prepare materials, briefings, and research ahead of key meetings and decisions.
- Own follow-through on action items—track what was decided, what's due, and what's slipping.
- Handle sensitive information and communications with discretion and sound judgment.
Office Operations
- Own the day-to-day operations of the Toronto office—including vendor relationships, office supplies, facilities, and everything that keeps the office running smoothly.
- Set up and maintain systems and processes that make the office efficient, organized, and professional.
- Coordinate company events, offsites, team meetings, and visitor logistics.
- Be the go-to person for all operational matters in Toronto.
Finance & Administrative Operations
- Support day-to-day finance and administrative operations, including expense management, invoice processing, vendor payments, and budget tracking.
- Assist with bookkeeping and accounting processes using QuickBooks Online (QBO) and work closely with external accountants and tax advisors.
- Help coordinate month-end administrative activities and maintain accurate operational and financial records.
- Support government funding and tax credit programs, including assisting with SR&ED documentation and information gathering.
- Continuously identify opportunities to improve internal operational and financial processes.
Business Development Support
- Support the Business Development and Sales teams with research, outreach coordination, and pipeline tracking.
- Help prepare presentations, briefs, and materials for partner and customer meetings.
- Assist in managing partner and customer relationships by tracking touchpoints, following up, and ensuring momentum.
- Identify opportunities to improve how we manage and grow commercial relationships.
Toronto Operations Lead
- Serve as the operational point of contact for the Toronto office.
- Coordinate across teams—including Sales, Deployments, Engineering, and Operations—to ensure the Toronto office runs smoothly.
- Proactively identify issues, surface blockers, and solve problems before they escalate.
- Help onboard new employees and contractors based in Toronto.
Who You AreRequired Experience
- Bachelor’s degree in business administration, Accounting, Finance, Commerce, or a related field.
- 3+ years of experience in an Executive Assistant, Operations, Office Manager, Chief of Staff, or other cross-functional role within a fast-paced company.
- Demonstrated ability to manage multiple workstreams simultaneously without dropping the ball.
- Excellent written and verbal communication skills—clear, concise, and professional.
- Comfortable working with data, metrics, and analytical tasks—not just administrative logistics.
- Experience directly supporting senior executives or founders.
Strong Signals
- Previous experience at a startup, technology company, or other high-growth environment.
- Background in Business, Finance, Accounting, Operations, or a related field.
- Experience supporting finance or business operations.
- Familiarity with QuickBooks Online (QBO) or other cloud-based accounting systems.
- Familiarity with Canadian government funding programs, including SR&ED tax credits, is an asset.
- Exposure to business development, sales operations, or commercial workflows.
- Experience building or improving internal processes rather than simply maintaining them.
- Proficiency with tools such as Notion, Slack, G Workspace, MS Office, and CRM platforms.
- Experience serving as an office lead, operations lead, or Chief of Staff.
