NATURE OF THE POSITION
CityStudio Vancouver is a registered educational charity and an innovation hub that brings together City of Vancouver staff, post-secondary faculty, and students to co-create experimental, real-world projects that advance sustainability, equity, and joy in the city. Since 2011, more than 14,000 students have contributed over 400,000 hours to city-building and urban transformation through CityStudio.
We are seeking a collaborative, detail-oriented, and equity-minded Program Coordinator to lead a portfolio of course collaborations and applied research projects connecting post-secondary faculty and students with City of Vancouver staff. These projects bring real-world city challenges into the classroom, creating hands-on opportunities for students to contribute to sustainability, equity, and joy in Vancouver.
As the Program Coordinator, you will develop, guide, and evaluate 20-25 course collaborations and applied research projects each year, supporting co-creative partnerships between the City staff and post-secondary institutions. You will also contribute to event coordination and facilitation, impact evaluation, and communications as part of a small, collaborative team dedicated to connecting learning with city-building.

RESPONSIBILITIESProgram Coordination
- Manage a post-secondary portfolio of CityStudio collaborations, coordinating 20-25 projects annually between school courses and City of Vancouver departments.
- Develop, nurture and grow relationships with faculty, staff, and administration, as well as City of Vancouver staff, to identify meaningful project opportunities.
- Liaise with City staff to source and curate project ideas; co-facilitate project development workshops, Lunch & Learns, and departmental presentations.
- Liaise with faculty and key academic stakeholders to match and manage collaborations aligned with City priorities and student learning outcomes, including facilitating project scoping and introduction sessions.
- Support project delivery through coordinating and attending check-ins, mid-project feedback sessions at partner schools, connecting collaborators to resources, collecting and filing project deliverables and troubleshooting as needed.
- Coordinate two major CityStudio project showcase events per year in collaboration with the Communications Coordinator, ensuring participation from collaborating institutions, courses, students, faculty, City staff, alumni, and community partners.
- Coordinate program evaluation using quantitative and qualitative methods, analyzing project outcomes and metrics to support impact reporting, storytelling, grant applications, and program development.
- Conduct debriefs with new faculty and staff, supporting the continuous improvement of the project coordination process and systems, and develop resources as needed.
- Maintain contact database, project deliverables, and impact metrics to support reporting, and partner engagement.
- Liaise with post-secondary teaching and learning units to co-develop and deliver capacity-building workshops for faculty interested in community-engaged learning or collaborating on research.
- Support the CityStudio team with special projects and other tasks as assigned.
Communications, Events and Partnerships
- Draft partnership summaries, annual reports, and program updates for the post-secondary partners and City of Vancouver stakeholders.
- Develop communication plans, storytelling and knowledge-sharing through presentations, blog posts, social media, newsletters and reports.
- Facilitate knowledge sharing between municipal, academic, and youth partners, including coaching students and preparing presentations for civic or academic audiences.
- Participate in the global CityStudio Network to share learnings and strengthen partnerships.
- Plan and host events, studio tours and presentations.
Funding and Grant Support
- Support fundraising and grant writing activities, including identifying new opportunities, assisting with proposals, and tracking deliverables.
SKILLS AND EXPERIENCE
We are looking for a warm, organized, and thoughtful professional who thrives in collaborative, learning-focused environments. You’ll bring:
- Minimum 3 years’ experience in program coordination or management, ideally in the post-secondary, municipal, or non-profit settings.
- A post-secondary degree in a relevant field (graduate degree an asset).
- Demonstrated experience in applied research, program facilitation, and/or community-engaged or experiential learning.
- Proven ability to build, nurture, and maintain relationships across academic and civic environments, with attentiveness to partner needs and a creative approach to co-developing project ideas.
- Excellent facilitation and public speaking skills, with the ability to engage diverse audiences and create inclusive, participatory environments.
- Strong writing, and communications skills, with the ability to synthesise and adapt messaging for diverse audiences.
- Experience in program evaluation, including collecting and analyzing impact metrics to inform improvements, storytelling, reporting, and grant applications.
- Curiosity about city building, civic innovation, and social or educational collaboration.
- Comfort managing multiple projects and deadlines in a creative, collaborative, and occasionally experimental team environment.
- Experience supporting or writing grants and funding proposals is an asset.
- Experience working with and mentoring post-secondary students is an asset.
- A proactive, inclusive, and service-oriented approach to teamwork and community engagement.
- Comfortable using digital tools for project coordination, communication, and data management.
- Familiarity with BCIT and/or technical institutions is an asset.
SUPERVISION & COMMUNICATION
- The Program Coordinator reports to the Program Manager. Requests from the Executive Director will be prioritized.
- The Coordinator collaborates primarily with the Communication Coordinator.
- The Program Coordinator is expected to participate fully in team meetings and events and follow all CityStudio staff protocols, including emergency procedures and financial policies.
- The Coordinator is expected to communicate openly and frequently with the CityStudio team to fulfill their duties.
WORKING CONDITIONS
This is a one year position with generous extended health and dental benefits through Manulife Financial, plus two weeks of vacation and a paid winter break. Regular working hours are 80% of a work week based on office hours of 37.5 hours per week, (30 hours per week) paid at 100% of salary. Occasional evening, weekend or overtime hours may be required to support events, presentations, or public engagements.
The salary range for this position is $50,000 - $55,000, commensurate with experience. The compensation range is a span between the minimum and maximum base salary for a position. The midpoint of the range is approximately halfway between the minimum and maximum and represents an employee that possesses full job knowledge, qualifications and experience for the position. In the normal course, employees will be hired between the minimum and midpoint of the salary range.
CityStudio’s offices are located in Vancouver at 1800 Spyglass Place. All staff members work in a hybrid format. A minimum of one in-office day per week is expected for this position. In addition, the role involves attending meetings, events, or site visits across Metro Vancouver, including classrooms, field trips, and City facilities.
CityStudio’s office is located on the traditional and ancestral lands of the xʷməθkwəy̓əm (Musqueam), Skwxwú7mesh (Squamish), and Səl̓ílwətaʔ/Selilwitulh (Tsleil-Waututh) peoples.
