POSITION SUMMARY: This is a casual position (May – September) that provides administrative support to the Parks & Open Space Department through customer service interaction with internal and external customers. This position reports to the Coordinator, Administrative Services. DUTIES AND RESPONSIBILITIES:

  • Provide administrative customer service to the Parks & Open Space Department including software system interaction, report creation, data entry, filing, etc.
  • Prepare documents and reports to be submitted to the Department’s Leadership Team.
  • Perform regular data input into corporate software systems including:
  • WAM
  • Oracle Financials
  • InFor
  • Various Microsoft Excel and Access databases
  • Program and operate the department’s Central Irrigation Control system.
  • Create purchase order releases, receipts, and ensure payment of invoices on behalf of the department.
  • Initiate Cash Receipts and Invoice Authorizations on behalf of the department.
  • Perform the monthly reconciliation of Purchase Cards (PCARDS) on behalf of the department.
  • Respond to phone, email, and in-person inquiries from internal and external customers.
  • Perform other related duties as required.

QUALIFICATIONS:Knowledge, Abilities and Skills:

  • Knowledge of Parks & Open Space operating and administrative procedures.
  • Knowledge of City of Regina procedures, agreements, and bylaws affecting the Parks & Open Space Department.
  • Ability to manage, prioritize, and complete multiple work assignments within deadlines.
  • Demonstrated skill and use of City of Regina software applications (WAM, InFor, Oracle Financials).
  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Access).
  • Knowledge and use of computerized irrigation software systems.
  • Ability to establish and maintain effective working relationships.
  • Proficiency in business writing and arithmetic.
  • Ability to understand oral and written instructions.
  • Ability to deal courteously and tactfully with internal and external clients.
  • Ability to work independently and/or as a contributing member of the team.
  • Knowledge of general office procedures, systems, and equipment.
  • Ability to maintain records, files, and retrieval systems.

EDUCATION AND EXPERIENCE:

  • Grade Twelve (12) with administrative/office procedure courses.
  • Four (4) years of related experience in a customer service environment.

  • Successful candidates may be required to provide a satisfactory criminal record check per the City of Regina's Criminal Record Check Policy.
  • Proof of education is required.
  • Additional assessments may be conducted to evaluate competencies, skills, and knowledge.
