Job Title: Project Manager – CampusTech AV

Location: Edmonton, Alberta

Overview:

As a Project Manager for CampusTech AV, you will manage the planning, coordination, and execution of commercial audiovisual projects. You will work closely with clients, vendors, technicians, and internal teams to ensure the timely and successful completion of projects within budget, scope, and quality standards. Your role is crucial in maintaining CampusTech AV’s reputation as a leading provider of AV solutions for commercial environments.

Compensation:Salary:

  • The salary compensates for the fulfillment of the responsibilities and tasks outlined in this job description, as well as other duties assigned by management.
  • The salary is paid for delivering projects that meet or exceed assigned project timelines, budgets, and quality standards.

Working Hours and Locations:Primary Work Hours:

  • 7:30 am to 4:30 pm Monday through Friday.

Primary Work Locations:

  • CampusTech AV office in Edmonton.
  • Client locations for site visits, meetings, and project management.

Additional Working Time:

  • Time required for site visits, client meetings, or addressing project issues outside of primary hours.
  • Time required for on-site troubleshooting or supervising installations during critical phases.

Remote Work:

  • Remote working locations, such as working from home, are allowed outside of the primary work hours, though the office will remain available as needed.
  • Remote work during primary working hours will be authorized on a case-by-case basis and must be approved in writing by the President in advance. This authorization will only be granted in situations where remote work will not negatively impact project management or overall effectiveness. These authorizations are intended for irregular events or circumstances. An example of an approvable irregular event is a personal emergency where working remotely ensures continuity of project oversight.

Primary Objectives:1 Project Management and Delivery

  • Oversee the end-to-end project lifecycle from planning to closeout for all assigned commercial AV projects.
  • Ensure projects are completed on time, within budget, and according to CampusTech AV quality standards.

2 Client Communication and Relationship Management

  • Act as the primary point of contact for clients during the project, ensuring their needs are met, concerns are addressed, and expectations are managed effectively.

3 Team Leadership and Coordination

  • Supervise CampusTech AV technicians and coordinate with engineers, subcontractors, and support staff to ensure smooth project execution.

Project Lifecycle:

  1. Project Initiation
  • Review the project scope as defined in the sales agreement.
  • Meet with clients to confirm goals, expectations, and any potential risks.
  • Develop the initial project plan and timeline, securing internal and external resources.

2 Planning

  • Create a detailed project plan, including milestones, tasks, resource allocation, and scheduling.
  • Identify and assess potential risks, creating mitigation strategies as needed.
  • Finalize budgets and ensure all stakeholders understand the financial parameters.
  • Establish communication plans for ongoing client and internal updates.

3 Execution

  • Coordinate and lead the deployment of AV systems according to the project plan.
  • Manage technicians and other technical teams to ensure proper installation and configuration of AV equipment.
  • Conduct regular on-site inspections and monitor project progress.
  • Ensure change orders are documented and approved before proceeding with additional work.

4 Monitoring and Control

  • Track project progress against the timeline and budget.
  • Resolve issues and roadblocks that arise during the installation phase.
  • Provide regular status updates to clients and internal stakeholders.
  • Monitor quality assurance throughout the installation, making sure all systems function as intended.

5 Project Closeout

  • Oversee final testing and client training of installed AV systems.
  • Ensure the client’s sign-off on project completion and functionality.
  • Document lessons learned and provide a final project report, including financial performance and client feedback.
  • Transition the project to the service team for ongoing support, if applicable.

Specific Responsibilities Per Objective:1 Project Management and Delivery

  • Create and maintain detailed project plans, timelines, and resource allocation schedules.
  • Conduct regular site visits to ensure progress aligns with project expectations.
  • Track project milestones and financial performance to identify and mitigate risks early.
  • Manage change orders and ensure proper approvals are obtained.

2 Client Communication and Relationship Management

  • Schedule and conduct regular client meetings to provide updates, address concerns, and align expectations.
  • Log all client communications and milestones in the company CRM (e.g., HubSpot).

3 Team Leadership and Coordination

  • Lead weekly internal project meetings to review tasks, delegate responsibilities, and remove obstacles.
  • Supervise and manage CampusTech AV technicians directly. Technicians report to the Project Manager and rely on your leadership for task assignments, scheduling, on-site guidance, and performance feedback.
  • Ensure technicians are fully prepared for installations, including reviewing documentation, drawings, and equipment lists.
  • Support technician development through mentorship, clarity of expectations, and on-site problem-solving.
  • Collaborate with the engineering team to verify that AV designs are installed according to plan.
  • Manage external subcontractors and suppliers to maintain timelines and quality control.
  • Conduct final quality inspections and oversee client handoff.

Profit Management on Projects:

  • As a Project Manager, you are responsible for ensuring that the project stays within the profit margins forecasted during the sales phase.
  • You will regularly track project costs, labor, and any additional expenses to ensure they align with the approved budget.
  • Any deviations from the forecasted profit margin must be reported immediately, and corrective actions should be taken to bring the project back on track.
  • You are expected to work closely with the sales team to understand the financial expectations of each project and manage resources accordingly to maintain profitability.
  • Any project that is at risk of falling below the forecasted margin requires written approval from the President, along with a detailed explanation of the necessary adjustments.

Professional Development:

  • Maintain up-to-date knowledge of new technologies and industry standards in commercial AV.
  • Attend training sessions or workshops as directed by management to stay current on the latest AV equipment and installation techniques.

Performance Metrics:

  • Projects delivered on time and within budget.
  • Client satisfaction based on post-project surveys and feedback.
  • Adherence to project profit margins and financial targets.
  • Effective management of project risks, issues, and changes.
  • Technician performance and development under your leadership.
