Position Overview The Office Administrator is a valued member of our Composites team and plays a pivotal role in supporting daily operations through efficient coordination of administrative, logistical, and office management tasks. You will be responsible for maintaining internal systems, facilitating onboarding and events, managing documentation, and ensuring smooth communication across departments. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic office environment. Responsibilities Administrative Functions:
- Welcome visitors and ensure compliance with safety orientation procedures
- Coordinate onboarding logistics and provide day-of support for new employees
- Prepare and submit accurate expense reports and mileage claims
- Maintain office supply inventory, including stationery and janitorial items
- Submit purchase requisitions and coordinate non-MRP procurement activities
- Schedule and support customer visits, including catering, logistics, and documentation
- Prepare, track, and archive NDAs and other client-facing documents
- Maintain internal communication tools such as bulletin boards and in/out boards
- Update and manage administrative spreadsheets and tracking tools
- Perform document control tasks including scanning, laminating, and filing
- Conduct periodic audits and manage inventory of stamps
- Distribute incoming mail and coordinate courier or pick-up services as needed
- Liaise with cleaning services and other facility contractors to ensure facility supply needs are met
- Maintain and update common office equipment (printers, TV’s, coffee machines, etc.)
- Renew business licenses and manage secure access tools such as lockboxes
- Provide administrative support to internal committees and service request processes
- Organize and execute internal events such as staff lunches, BBQs, and town halls
- Production Support:
- Support manufacturing by requesting, validating, and confirming production orders
- Digitize production data, while monitoring for inaccuracies and variances
- Troubleshoot administrative issues related to production, materials, and time tracking systems
Other duties as required within the context of the role. Qualifications Education:
- High School Diploma (preference for post-secondary certificate or diploma in Office Administration, Business Administration, or related fields)
Experience:
- 1+ year of experience in an administrative, clerical, or customer service role (including internships or volunteer work)
- Experience with SAP is considered an asset
- Proficiency in Microsoft Office and general office equipment, with particular skill development in Excel
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Ability to maintain confidentiality and handle sensitive information
- Able to pass Government security clearance and work within a Controlled Goods facility
