The Alberta Electric System Operator (AESO) is responsible for the safe, reliable, and economic planning and operation of the Alberta Interconnected Electric System. We provide open and non-discriminatory access to Alberta’s interconnected power grid and also facilitate Alberta’s competitive wholesale electricity market. Job Description If you are a current AESO employee or contractor, please view openings and apply through our internal site at Workday_._ We are looking for a talented Administrative Coordinator to join our Grid Reliability Operations team. Reporting to the Director, Grid and Market Operations, you will be responsible for providing administrative support to the Grid Reliability division and System Coordination Centre (SCC). This full-time opportunity offers a competitive salary, and a variable pay program. We support a hybrid work environment, where the team is in the office on Tuesdays, Wednesdays, and Thursdays. Mondays and Fridays are flexible for where you work best. Accountabilities include:

  • Meeting coordination and support (create agendas, take minutes, monitor action items)
  • Catering requests (ordering, delivering to meeting rooms, clean up, etc.)
  • Manage calendars where requested (meeting room calendars)
  • Project administrative support
  • Onsite/facility support (escorting guests, contact for emergency response)
  • Coordinate travel arrangements (flights, hotel accommodations, car rentals, etc.; ensuring staff have itineraries and e-tickets, with the assistance of a corporate travel agency)
  • Event planning & RSVP list management (internal and external stakeholder sessions & operations team; Stampede Breakfast; social events)
  • Provide departmental financial support which includes, but is not limited to: expense reports, enrolling and paying for staff training/conference fees, processing invoices, third party billing)
  • Format, review and maintain documents, reports, letters and spreadsheets
  • Liaise with IT for issues with PCs, printers, etc.
  • Liaise with Head Office on items which includes, but is not limited to: update phone list, new hire set up, business card orders, internal moves, meeting room calendars, access management, sign in guests at security, maintain distribution lists, act as United Way liaison
  • Liaise with the legal and finance groups while managing administration of consultant contracts and payment of invoices
  • Assist with the coordination of the Annual Training Sessions
  • Creation of on-site registration including name tags
  • Creation and management of budget for events
  • NERC RC certification renewals for System Controllers and other SCC staff
  • Order office supplies, restock fridges, supplies, etc.

You have:

  • Post-secondary education and/or a certification in Office Administration; a combination of appropriate education and experience may be considered. Experience equivalent to degree or diploma
  • Strong aptitude for computers and an intermediate to advanced level understanding of Microsoft Office (Outlook, Word, PowerPoint and Excel)
  • 3-5 years’ experience in an administrative / office support role
  • Ability to handle sensitive / confidential situations and materials
  • Ability to pass police security clearance
