Position Summary:
The Student Success & Administrative Coordinator plays a dual role in supporting both the operational and student-facing functions of the organization. This hybrid position ensures a seamless student experience from onboarding through program completion while also providing critical administrative, logistical, and creative support.
The ideal candidate is a proactive, detail-oriented multitasker who thrives in a fast-paced, flexible environment and is comfortable switching between student support and administrative tasks.
Core Responsibilities:Student Success & Program Support
- Serve as the primary point of contact for students via email, chat, and video calls.
- Support the full student lifecycle: registration, onboarding, mentorship scheduling, and alumni renewal.
- Track and monitor student progress, maintaining accurate records in internal systems.
- Manage and maintain the student portal, including SOPs and video uploads.
- Edit and upload course and mastermind session videos to the portal.
- Respond professionally to Google and Facebook reviews.
- Collaborate with cross-functional teams to resolve student concerns and enhance engagement.
- Support special projects to improve the student experience and retention.
Administrative & Operational Support
- Manage office inventory: track, order, and maintain supplies and equipment.
- Coordinate on-site and off-site errands including banking, shipping, and purchases.
- Answer calls, emails, and messages professionally; maintain organized records and documentation.
- Prepare reports, spreadsheets, presentations, and assist in creating physical marketing materials.
- Track project deadlines, manage calendars, and schedule meetings or events.
- Assist with onboarding new team members and coordinating internal processes.
- Support with managing team travel schedules and itineraries.
- Provide on-site support during events and trips as needed.
Qualifications:
- Proven experience in administration, customer service, or student support.
- Strong organizational, communication, and problem-solving skills.
- Basic to intermediate skills in photography, videography, and video editing.
- Proficient in Microsoft Office Suite and/or Google Workspace.
- Experience with tools such as Adobe Creative Suite, Canva, Go High Level, or Airtable is an asset.
- Competent with both Mac and PC platforms.
- Must have a reliable vehicle, valid driver’s license, and personal laptop.
- Available for occasional travel across Canada.
