Media & Campaign Coordinator
Job Description
Posted on: September 13, 2025
National strategic and creative advertising firm looking for a highly organized, detail-oriented Media & Campaign Coordinator to make sure our campaigns come to life – coordinating on-time and on-target delivery across broadcast, digital, print, out-of-home, email, and social platforms. You’ll work closely with our account and production teams, double-checking requirements, delivering ads, managing dashboards, and pulling reports. It’s a detail-oriented role that calls for someone who’s organized, thorough, and thrives on keeping all the moving parts in order.
ABOUT US
At The NOW Group, we sell things money can’t buy. Ideas. Causes. Change.
For over 30 years, we’ve been working with non-profits, unions, and progressive leaders to create award-winning integrated campaigns. A full-service agency, our team makes a big impact with our clients, working across Canada in social marketing, advertising, communications and electoral campaigns.
We’re looking for a Media & Campaign Coordinator to join our team.
ABOUT YOU
You’re someone who gets a real sense of satisfaction from making things run smoothly. Numbers and deadlines don’t intimidate you — in fact, you like the structure they bring.
You’re organized, dependable, and comfortable juggling multiple projects at once without losing track of the details.
You enjoy working with data, pulling reports, and making sure things line up the way they should.
While you can work independently and keep yourself on task, you’re also a team player who knows how your work fits into the bigger picture.
Most of all, you like being the steady hand behind the scenes that helps campaigns launch without a hitch.
You have a sense of humour about yourself and others. There’s a lot of laughter at NOW – and we like it that way.
ABOUT THE JOB
As the Media & Campaign Coordinator, you will be responsible for scheduling, delivering and reporting on multi-channel campaigns across broadcast, print, out-of-home, social, and email platforms. Your role will involve working closely with our account and production teams to ensure cohesive and effective delivery of all tactics.
Key Responsibilities:
- Schedule and deliver ads across all media channels: broadcast (TV, radio), print, out-of-home, email marketing platforms, and paid/organic digital channels.
- Provide production teams with technical requirements and deadlines to ensure creative assets are prepared correctly for each medium.
- Manage ad dashboards (e.g. Meta Ads Manager, Google Ads) — including setup, monitoring, pacing, and optimizations under senior direction.
- Coordinate with external media vendors, broadcasters, publishers, and digital platforms to confirm campaign delivery.
- Monitor delivery and flag issues, such as ad under-delivery or pacing concerns.
- Track, compile, and report campaign performance metrics across all channels.
- Support compliance processes with regulators and platforms (thinkTV, Ad Standards Council, etc.) as needed.
- Maintain organized campaign schedules, calendars, and reporting files for multiple accounts at once.
- Assist account and production teams with campaign wrap-up reports and learnings.
- Schedule and publish agency social media and newsletter content using scheduling tools (e.g. HeyOrca, Mailchimp), ensuring accuracy, timing, and alignment with campaign calendars.
Qualifications:
- Exceptionally detail-oriented, with a love for organizing information and managing logistics.
- Enjoy working with numbers and data, and confident in putting together campaign reports.
- Comfortable juggling multiple deadlines and managing complex schedules.
- Proficient in Microsoft Excel/Google Sheets (or other data tools).
- Proven ability to work well under tight deadlines and ability to shift focus, if needed.
- Can multitask and manage multiple projects simultaneously.
- A collaborative team player who also takes ownership of independent tasks.
- Interest in media, marketing, and advocacy campaigns.
Preferred Skills:
- Experience with media scheduling/buying, ad delivery, or ad dashboards (broadcast, digital, or email).
- Familiarity with key online marketing platforms, such as: Meta Ads Manager, Google Ads, Mailchimp, Constant Contact, Campaign Monitor, Action Network, NationBuilder, HeyOrca, Hootsuite, or Sprout Social
- Experience with HTML/CSS for email design.
