Our client, a reputable private wealth management firm, is seeking an experienced Wealth Management Administrative Assistant to provide high-level administrative and operational support in a client-focused, team-oriented environment. This role is critical in supporting advisors who serve high-net-worth individuals, family trusts, and foundations. The ideal candidate brings a minimum of five years of administrative experience within the wealth management industry and is confident handling complex account documentation, investment transactions, and client communications with precision and professionalism.

Wealth ManagementAdministrative Assistant responsibilities:

  • Provide day-to-day administrative support for a book of high-net-worth clients, including individuals, family trusts, and corporations
  • Oversee the full client account lifecycle: onboarding, documentation updates, maintenance, transfers, and closures
  • Maintain accurate and up-to-date records in internal systems and CRM (Salesforce experience an asset)
  • Prepare detailed reports, meeting packages, and investment summaries in coordination with advisory team
  • Ensure the timely processing of trades, deposits, withdrawals, and account transfers
  • Act as a reliable and professional point of contact for client inquiries, coordinating with advisors and custodians as needed
  • Support compliance processes by ensuring proper documentation and adherence to KYC/AML and internal policy requirements
  • Liaise with external custodians, legal, and tax professionals to coordinate account-related activities and reporting

The successful candidate has:

  • Minimum of 5 years of administrative experience in the wealth management or private investment industry
  • Strong knowledge of registered, non-registered, and tax-sheltered account types including RRSPs, RRIFs, RESPs, TFSAs, and trust accounts
  • Solid understanding of financial products, reporting, and investment terminology
  • High attention to detail and accuracy in handling confidential and time-sensitive information
  • Proficiency with Microsoft Office Suite, particularly Excel; experience with Salesforce and Adobe Acrobat is an asset
  • Enrollment in or completion of the Canadian Securities Course (CSC) is preferred
  • Proven ability to multitask and manage competing priorities in a fast-paced, client-driven environment
  • Strong verbal and written communication skills with a client service mindset

Compensation and Benefits:

  • Salary range $60,000 – $80,000, commensurate with experience
  • Three weeks of vacation
