Talent Administrator
Location: Saunders Farm (On-site, reliable transportation required - must be located in Ottawa, ON to apply)
Employment Type: Full-Time Contract (10 months, April–December), with possibility of full-time permanent extension.
Rate: $26/hour

Job Overview
This role is primarily focused on talent acquisition coordination and Human Resources administration.
The Talent Coordinator plays a key administrative role in recruitment, onboarding, payroll support, documentation, data entry and Human Resource system management. The role also supports administrative and financial tracking processes such as payroll documentation, labour tracking, budgeting support, and maintaining accurate internal records.
While broader culture and engagement initiatives are led by the Hospitality Manager, this position supports the administrative people processes across the organization, and works closely with Accounting.

Key Responsibilities
Payroll & Financial Administration
- Support bi-monthly payroll processing and maintain payroll documentation including wages, deductions, and tax records
- Respond to employee payroll inquiries and ensure accurate record keeping
- Assist with wage subsidy documentation and government program administration
- Assist with data entry and financial tracking, including maintaining budget spreadsheets and tracking expenses
- Prepare basic financial summaries and ensure organized financial documentation
Recruitment & Talent Acquisition
- Facilitate all aspects of the talent acquisition process, including seasonal and performance-based roles
- Draft and post job advertisements; collaborate with marketing/social media to promote postings
- Source candidates and conduct resume reviews
- Conduct first-stage interview screenings and reference checks
- Coordinate interviews and auditions for department managers
- Prepare and issue offer letters
- Coordinate onboarding and ensure completion of all new hire documentation and activities
- Coordinate and attend recruitment events as required
Human Resource Administration
- Support administrative processes for employee onboarding, departures, and status changes
- Maintain accurate employee records (digital and paper files)
- Draft employment verification letters and employee communications as needed
- Support bi-monthly payroll processing
- Assist with wage subsidy documentation and government program administration
- Maintain HR systems (e.g., Payworks, When I Work, or similar platforms)
Performance & HR Process Coordination
- Coordinate team surveys & staff performance reviews
- Track completion and provide reporting to managers
- Support documentation related to employee development processes
- Assist in preparing materials for training initiatives and manager tools
HR Reporting & Compliance
- Stay informed of changes in employment legislation
- Track and report on key HR metrics (recruitment, attrition, exit data)
- Support managers in compiling people-related reports
- Perform other duties within the scope of the role as business needs evolve
Qualifications
- Post-secondary degree or diploma in Human Resources, Business, Accounting, or Finance
- 1-3 years of HR or related administrative experience
- General knowledge of employment legislation
- Familiarity with recruitment best practices
- Experience with payroll and HR systems
