SUMMARY OF THE ROLE
Reporting to the General Manager, you are an experienced Senior Property Administrator whose primary responsibility is for daily, monthly, quarterly, and annual financial transactions for the property including accounts receivable, collections, monthly charges, year-end charges, and percentage rent. This role will work closely with the Property Accountant and General Manager on financial reporting and processes, and lease administration affecting the property.
WHAT YOU’LL DOFinancial Accountability:
- Meet all required deadlines for financial and operational processes, ensuring smooth business continuity.
- Ensure the timely collection of monthly rent, including CAM, tax, and utility billings, by the 10th of each month, maintaining consistent cash flow.
- Maintain a rent roll outstanding balance of no more than 4%, excluding pay-as-due taxes, to ensure financial stability and minimize arrears.
- Collect pay-as-due taxes within 45 days of billing, ensuring compliance and accuracy in tax-related revenue.
- Ensure that outstanding rents at the accounts receivable cut-off are less than 2%, keeping overdue amounts within acceptable limits.
- In coordination with the Property Accountant, execute accurate and timely year-end billings to close the financial year smoothly.
- Prepare monthly, quarterly, and annual accruals.
- Update, maintain and audit all tenant information to ensure it is accurate and up-to-date.
- Maintain an up-to-date record of all negligent accounts including, but not limited to, accounts receivable reports, tenant statements, letters, and other correspondence
- Recommend bad debt allowances and write offs for approval from the General Manager.
- Reconcile the rent roll monthly.
- Assist the General Manager in the preparation of the monthly Asset Management Report.
- Lease administration; review lease entry in Yardi for accuracy and completeness.
- Prepare required documents including, but not limited to, welcome letters and rental notices. Liaise with tenants on a regular basis to develop and maintain good working relationships.
- Analyze tenant sales and prepare monthly percent rent billings as required.
- Process all tenant billings and rental notices including year-end statements in a timely, accurate manner, and forward to tenants with appropriate back up information to minimize the incidence of outstanding accounts.
- Reply and resolve, in a timely manner, tenant inquiries regarding operating costs and realty tax, working collaboratively with the General Manager and/or Property Accountant.
- Verify, collect and process rent due, adjustments and other payments from tenants in Yardi.
- Prepare and deliver Demand and Default notices for late rent.
- Perform Yardi Administration such as collecting and inputting sales from tenants and creating Purchase Orders in Yardi Pay Scan for the Operations and Marketing Teams.
- Daily, Weekly and Monthly Gift Card Reconciliation.
- Administer and reconcile petty cash fund and guest services float.
- Update information on the aged accounts receivable report on the 10th and the 20th of each month to reflect current status.
- Maintain analysis of utility accounts and prepare timely billings to metered tenants.
- Process manual billings for service-related charges.
- Champion Royop’s organizational culture, employee policies, and actively participate in Royop’s Health and Safety Program.
WHAT YOU’LL HAVEQualifications & Technical Skills
- Bachelor’s degree or College Diploma in Accounting, Business Administration or a related field
- 2-5 years’ experience in an accounting
- Practical experience in real estate or property management accounting
- A solid understanding of accounting principles, lease administration, and collections
- Advanced proficiency in Microsoft Office Suite
- Experience in Yardi is considered an asset

JOB LOCATION & CONDITIONS:
- Working out of our Sherwood Park Centre, Monday to Friday from 8:30 a.m. to 4:30 p.m.
- Ability to work longer hours and/or weekends during special events and seasonal peaks (holiday hours).
- Flexible hours are available depending on workload and deliverables.
- Some out of town or offsite travel may be required from time to time.
- This job requires the individual hired to maintain the ability to work from a remote location during pandemic related situations by having access to a proper working computer and a secure and strong internet connection. Royop will provide the means to log onto our work systems.
