Location: Ottawa, Ontario (on-site) Duration: 18-20 months Security Clearance: Secret and Controlled Goods Responsibilities
- Develop, maintain, and improve records management procedures and processes.
- Implement and manage file plans, classification structures, and information management tools.
- Organize, classify, and catalogue electronic and physical records.
- Ensure proper storage, retrieval, retention, and disposition of information assets.
- Identify and manage essential records for business continuity and emergency preparedness.
- Analyze data structures and recommend improvements to support business and system requirements.
- Establish and apply metadata standards and recordkeeping guidelines.
- Provide guidance and support to users on records management practices and tools.
- Monitor and evaluate the effectiveness of information management standards and processes.
- Collaborate with IT teams to align information storage and system requirements.
- Conduct analysis of content management issues and recommend improvements.
- Support the development of documentation such as SOPs, user guides, and administrative instructions.
Qualifications
- 2+ years of experience analyzing, developing, modifying, and implementing information management or recordkeeping systems.
- 2+ years of experience administering SharePoint Classic and Modern versions at the site collection level and below.
- 2+ years of experience providing advice and guidance on recordkeeping, including policies, regulations, capacity building, legacy records, and electronic records.
- 2+ years of experience drafting Information Management Administrative Instructions.
- 2+ years of experience using SharePoint On-Prem (2019 or Subscription Edition), SharePoint Online, TreeSize Pro, ShareGate, and Microsoft Office Suite including Teams, Word, Excel, Outlook, and PowerPoint.
- 2+ years of experience working in a Windows environment version 23H2 or higher.
- 10+ years of experience analyzing, developing, modifying, and implementing information management or recordkeeping systems.
- 10+ years of experience administering SharePoint Classic and Modern versions at the site collection level and below.
- 10+ years of experience providing advice and guidance on recordkeeping policy, regulations, and implementation.
- 10+ years of experience drafting Administrative Instructions and formal information management documentation.
- Experience using Microsoft 365 tools including Planner, Power BI, Power Apps, and Power Automate.
- University degree in a relevant field.
