Assistant – Full-time – Hybrid – Downtown Toronto

Are you highly organized, detail-driven, and known for keeping everything (and everyone) on track? We’re looking for a professional and proactive Assistant to support a team of skilled professionals where accuracy, strong attention to detail, coordination, and professionalism are key.

About the Role

As a trusted right hand to the team, you’ll play a critical role in ensuring day-to-day operations run seamlessly. From managing complex calendars to coordinating meetings, tracking expenses, and supporting ongoing projects, you’ll be the go-to person who keeps everything moving efficiently behind the scenes.

What You’ll Do

• Manage and coordinate complex calendars, meetings, and scheduling across multiple stakeholders

• Organize and prepare meeting materials, agendas, and follow-ups

• Coordinate internal and external meetings, including logistics and room bookings

• Support project coordination, tracking timelines, deliverables, and key milestones

• Process and reconcile expenses with a high degree of accuracy

• Maintain organized documentation and ensure information is up to date and accessible

• Act as a central point of contact, liaising with internal teams and external partners

• Anticipate needs, troubleshoot issues, and ensure nothing falls through the cracks

What You Bring

• 2–4 years of experience in an administrative or team support role

• Exceptional attention to detail and a commitment to accuracy

• Strong organizational and time management skills with the ability to juggle competing priorities

• Excellent communication skills, both written and verbal

• A proactive, solutions-oriented mindset

• High level of professionalism, discretion, and accountability

• Strong proficiency with Microsoft Office and calendar management tools
