Nickels Heirloom is a division of Nickels Custom Cabinets specializing in high-end residential
cabinetry projects throughout the Lower Mainland. We work closely with homeowners,
designers, builders, contractors, and installers to deliver exceptional custom cabinetry from
concept to completion.
We are looking for an organized, proactive, and detail-oriented Project Coordinator to join our
growing team. This role is ideal for someone who enjoys managing multiple projects, working
with clients and trades, solving problems, and ensuring projects stay on schedule in a fast-paced
environment.
Position Summary
The Project Coordinator plays a key role in supporting our Cabinet Specialists and ensuring
projects move smoothly from contract signing through final completion. Working closely with
clients, installers, production, accounting, and suppliers, this position is responsible for
coordinating schedules, tracking project progress, maintaining documentation, and delivering an
exceptional customer experience.
Key ResponsibilitiesProject Coordination
• Coordinate projects from contract signing through final completion.
• Track project milestones including contracts, production, delivery, installation,
deficiencies, and payments.
• Maintain accurate project records and documentation.
• Monitor project schedules and proactively follow up on outstanding items.
• Assist with project closeout and ensure all deficiencies and service items are completed.
Client Communication
• Act as a primary point of contact for clients throughout the project.
• Provide updates regarding production, delivery, installation schedules, and project
progress.
• Communicate project changes, delays, and deficiency resolutions professionally and
promptly.
• Coordinate site visits, measurements, and project-related appointments.
• Maintain a high level of customer service throughout the project lifecycle.
Scheduling & Logistics
• Coordinate delivery and installation schedules.
• Work closely with installers, suppliers, production staff, and project partners.
• Confirm site readiness before deliveries and installations.
• Schedule deficiency and service appointments.
• Ensure all project logistics are organized and communicated effectively.
Production & Order Tracking
• Monitor project status through internal systems.
• Follow up on production schedules, backorders, and outstanding items.
• Assist with change orders and project documentation.
• Coordinate deficiency parts and service work to ensure timely completion.
• Work with internal departments to keep projects moving efficiently.
Administrative & Financial Support
• Prepare and maintain project contracts and documentation.
• Coordinate with Accounting regarding deposits, progress payments, and final invoices.
• Maintain project tracking spreadsheets and internal reports.
• Ensure project files remain accurate, organized, and up to date.
Team Support
• Support Cabinet Specialists by handling project administration and coordination tasks.
• Provide installers with drawings, schedules, and project information.
• Collaborate with multiple departments to ensure projects run efficiently.
• Take ownership of assigned tasks and follow through to completion.
Qualifications
• Minimum 1 year of experience in Project Coordination, Construction Administration, or
Project Management.
• Experience in custom cabinetry, millwork, kitchen and bath design, construction, or
residential renovation is strongly preferred.
• Experience reading architectural drawings, millwork drawings, cabinetry drawings, shop
drawings, or construction plans is a strong asset.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple projects simultaneously.
• Ability to prioritize tasks and adapt to changing project requirements.
• Comfortable working in a fast-paced environment with multiple deadlines.
• Strong problem-solving skills and attention to detail.
• Proficiency with Microsoft Office (Excel, Outlook, Word).
• Experience with ERP, CRM, scheduling software, or cabinetry software is considered an
asset.
• Customer-service focused with a professional and positive attitude.
• Valid Class 5 Driver's License.
• Ability and willingness to travel to project sites throughout the Metro Vancouver when
required.
