Moose Power Inc. develops, builds, and manages solar energy systems across the country — and we’re looking for a Receptionist cum Executive Assistant to support our leadership team and ensure smooth day‑to‑day office operations.
Key Responsibilities
- Serve as the face of the company by providing a positive and welcoming experience to all visitors
- Perform general reception tasks, including answering, screening, and directing phone calls in a courteous and professional manner
- Handle incoming and outgoing mail, courier packages, and deliveries
- Provide administrative support to the Managing Director and Director of Project Development
- Assist with travel arrangements, including flight and hotel reservations
- Schedule meetings, appointments, and conference room bookings
- Maintain office calendars and ensure timely reminders for deadlines and events
- Support the planning and coordination of company events, meetings, and training sessions
- Update databases, contact lists, and internal records as required
- Handle confidential information with discretion and professionalism
- Perform general office administrative duties to ensure smooth daily operations
- Take on additional responsibilities as assigned or required
Requirements
- Administrative experience is an asset, but not required. If you’re interested in starting your career as an executive assistant, this is an excellent opportunity to begin.
- High school diploma required; post‑secondary education in administration is an asset
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask and prioritize
- Professional, friendly, and customer‑service–oriented demeanor
- Ability to handle confidential information with discretion
- Experience managing calendars, scheduling meetings, and coordinating office activities
- Comfortable working independently and supporting multiple team members
- Strong attention to detail and accuracy in all administrative tasks
