The Role
We are looking for an Operations & Service Coordinator who will serve as the central nervous system of our office and service department in Chagrin Falls, OH. This is not a "desk job"—it is a high-impact role that requires a mix of technical administration, logistics, coordination, and proactive relationship building. You are the primary point of contact for our customers, our field technicians, and our vendors.
Key Responsibilities1. Service Architecture & Scheduling
· Master our internal system to create and maintain detailed Service Agreements.
· Coordinate weekly service runs, review schedules with field staff, and manage sub-contractor relationships to ensure timely completion of work.
· Field emergency service calls and troubleshoot customer issues over the phone, looping in subject matter experts as needed.
2. Logistics & Inventory Management
· Oversee all Shipping & Receiving, including seeking the best freight costs and providing estimates to customers.
· Maintain stock levels of all products and lead quarterly inventory audits.
· Manage the Used Equipment pipeline: from purchasing and freight-in to inspecting, cleaning, and prepping units for online resale. The actual work is done by others, who report to you
3. Sales Support & Technical Admin
· Process sales and service orders, generate RFQs/Quotes for the sales team, and manage purchase orders to vendors.
· Handle the Return Merchandise Authorization (RMA) process, managing warranties, and instructions for customers.
4. Relationship Stewardship
· Act as the "face" of the Company to vendors and contractors, leveraging those relationships to ensure the company gets priority support when needed.
· Foster a collaborative office environment by supporting the internal team with everything from supplies to technical documentation.
5. Facilities & Support
· Take ownership of the physical workspace. This includes ensuring the facility is maintained (hire grounds crew to shovel snow, managing mechanical issues) and ensuring trucks/forklifts are serviced.
Requirements
· The "Generalist" Skillset: Ability to pivot from an engineering quote to a logistics issue to a facility maintenance task without losing focus.
· Systems Proficiency: High comfort level with ERP/CRM software (Zoho/HubSpot and QBO is a plus).
· Communication: Exceptional phone presence and the ability to "treat vendors like an extension of our company."
· Reliability: You are the person the company depends on to keep the lights on and the gears turning.
