Our client, a large enterprise organization, is seeking an Executive Assistant for a 3-month contract opportunity, with potential for extension or conversion based on business needs.

This is a hybrid role with onsite presence aligned to leadership schedules (typically Wednesday or Thursday) at a downtown Toronto office. The role supports senior leaders with day-to-day administrative operations in a fast-paced, high-visibility environment.Key Responsibilities

• Manage complex executive calendars, including scheduling meetings and prioritizing activities

• Coordinate meetings, prepare agendas, book rooms, and arrange required resources

• Handle travel arrangements and manage expense reporting and invoice processing

• Prepare correspondence, presentations, reports, and meeting materials

• Support leadership meetings by organizing agendas, taking minutes, and tracking follow-ups

• Provide administrative support including onboarding/offboarding coordination and system access requests

• Assist in preparation of team presentations, reports, and event materials

• Act as a delegate for executives on administrative systems and approvals as required

• Maintain organization, confidentiality, and efficiency across all administrative processes

Must-Have Requirements

• 3–5 years of experience as an Executive Assistant supporting senior leaders

• Strong experience with calendar management in a fast-paced environment

• Experience with travel coordination and expense reporting

• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)

• Strong organizational and multitasking skills

Nice-to-Have

• Experience within large enterprise or financial services environments

• Familiarity with tools such as Workday or Coupa

• Experience supporting senior leadership teams or executives

Soft Skills

• Strong verbal and written communication skills

• High level of professionalism, discretion, and confidentiality

• Strong attention to detail and critical thinking ability

• Ability to manage competing priorities effectively

• Collaborative and proactive mindset
