Mission
We are seeking a highly organized and resourceful Executive Assistant to support three divisional leaders across multiple business units. Reporting to the Chief of Staff, this role is critical to ensuring the efficiency, coordination, and professionalism of executive operations.
This position requires a high degree of judgment, discretion, and initiative. The Executive Assistant will serve as a key partner to senior leadership, providing proactive support that enables focus on high-impact priorities. The ideal candidate brings a polished, solutions-oriented approach and is comfortable navigating complex schedules, confidential matters, and shifting priorities with poise and professionalism.
What You’ll Be Contributing
- Provide tailored administrative support to three divisional leaders, each with distinct priorities and support needs.
- Proactively manage calendars, schedule meetings, and ensure alignment of key priorities across leaders’ schedules.
- Arrange domestic and international travel and manage related expense reports accurately and on time.
- Prepare, edit, and format documents, presentations, and spreadsheets using Microsoft Office tools.
- Assist in coordinating internal communications and recurring reporting cadences across business units.
- Organize and maintain digital filing systems, including SharePoint sites and internal repositories.
- Track action items and ensure timely follow-up on key deliverables
- Attend select meetings to capture notes, decisions, and follow-up actions as required.
- Interact with internal and external stakeholders on behalf of the supported executives, maintaining a high level of professionalism at all times.
- Provide support on special projects or ad hoc initiatives as assigned by the divisional leaders or Chief of Staff.
What Sets You Apart
- Post-secondary education or equivalent professional experience.
- Minimum 5 years of experience supporting executives or senior leaders in a dynamic corporate environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word), with familiarity in SharePoint and other Microsoft 365 collaboration tools.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated ability to support multiple leaders concurrently while managing competing priorities.
- Strong organizational skills, with a high level of accuracy and attention to detail.
- Discretion and sound judgment in handling sensitive and confidential information.
- High level of initiative and the ability to work independently in a fast-paced, evolving environment.
