Elk Island Public Schools is seeking a highly skilled Sr. Executive Assistant to the Superintendent of Schools. This is a pivotal role providing senior?level administrative, organizational, and governance support within a complex educational environment. This position requires exceptional judgment, professionalism, and independence, ensuring the Superintendent and senior leadership team can focus on strategic priorities that advance student learning, operational excellence, and the strategic plan for the Division Guided by the vision: World-class learning- lifelong impact and the EIPS mission: �providing high-quality student-centered education, the Sr. Executive Assistant strengthens leadership capacity, enhances organizational transparency, and ensures that all communications and processes reflect the highest standards of integrity, collaboration, and care. Elk Island Public Schools (EIPS) is one of the largest school divisions in Alberta, serving the education needs of approximately 17,750 students in 43 schools. Position Details

  • Start date negotiable
  • 40 hours per week (Monday to Friday 8:00am to 4:30pm) may require�professional flexibility to support occasional evening meetings and time-sensitive executive demands.
  • Work location: The EIPS�Central Services office, located at�683 Wye Road Sherwood Park,�a collaborative hub of 190 professionals dedicated to excellence.

Key Responsibilities

  • Executive-Level Support: Provide comprehensive administrative assistance to the Superintendent, including complex calendar management, high?volume scheduling, document preparation, action tracking and confidential correspondence.
  • Governance Coordination: Support �governance processes, including Board of Trustee meetings, agenda preparation, minute?taking, action tracking, and compliance with regulatory and policy requirements.
  • Leadership Liaison: Serve as a primary point of contact between the Superintendent?s office, principals, directors, trustees, provincial Ministries, elected officials and business �partners.
  • Departmental Operations: Coordinate executive administrative functions across the division, supporting leadership teams and staff with departmental needs, workflow optimization, and digital organization.
  • Stakeholder Communication: Respond professionally to inquiries from internal and external stakeholders?including government bodies, partnership organizations, and the public?ensuring clarity, accuracy, and alignment with Division policies.
  • Document & Records Management: Maintain efficient digital and physical filing systems, manage confidential documentation, and prepare polished reports, briefings, and communications.
  • Event & Travel Coordination: Organize district?level events, meetings, travel arrangements, and logistics for senior leadership.
  • Budget: �Prepare budget reports, projections, expense tracking, and procurement decisions requiring independent judgment.
  • Professional Discretion: Exercise sound judgment, confidentiality, and problem?solving skills in a fast?paced environment where priorities shift quickly.

Education & Qualifications

  • Diploma in Office Administration or a related field.
  • 3+ years proven experience in an executive administrative role, preferably within a large organization, school division, or governance environment.
  • Advanced digital literacy, including expertise in complex scheduling systems, document management platforms, and collaborative digital tools. ( PowerSchool, Atrieve, MyBudgetFile, Rycor, Google Suite and MS Office, Cascade, and Photoshop)
  • Exceptional verbal and written communication skills, with the ability to represent the Superintendent?s office professionally and diplomatically.
  • Strong analytical and problem?solving abilities, with capacity to work independently and manage competing priorities.
  • Demonstrated commitment to equity, collaboration, and the mission of Public education
  • Ability to exercise discretion, maintain confidentiality, and navigate sensitive issues with maturity and integrity.
