Role
The Procurement Coordinator supports the procurement team in sourcing Good and Services including Food Items (perishable and non perishable), maintaining supplier relationships, processing purchasing documents, and ensuring timely delivery of materials. This role helps streamline purchasing activities and contributes to cost-efficient, compliant procurement operations
Responsibilites
Purchasing & Sourcing
- Assist in sourcing suppliers and obtaining competitive quotations.
- Prepare and issue purchase orders (POs) in accordance with procurement policies.
- Track and follow up on outstanding POs to ensure timely delivery.
- Maintain up‑to‑date vendor records, pricing lists, and product information.
Vendor & Stakeholder Coordination
- Communicate with suppliers regarding pricing, availability, and delivery schedules.
- Support vendor evaluation and performance tracking.
- Coordinate with internal departments (finance, operations, production etc.) to clarify purchasing needs and specifications.
Documentation & Compliance
- Ensure all procurement activities comply with organizational policies and audit requirements.
- Maintain accurate filing and documentation of contracts, POs, receipts, and invoices.
- Assist in preparing procurement reports, spend analyses, and inventory updates.
Administration & Support
- Monitor stock levels and help initiate replenishment.
- Support in Inventory Management
- Help resolve discrepancies related to orders, deliveries, and invoices.
- Support Procurement Manager and supervisor in cost‑saving initiatives, contract renewals, supplier onboarding etc.
Qualifications/ Experience
- Diploma or bachelor’s degree in business administration, supply chain, or related field.
- 1–2 years of experience in procurement, purchasing, or administrative roles (preferred).
- Strong computer skills (Microsoft Office, Excel etc.)
- Excellent communication, negotiation, and organizational abilities.
- Attention to detail and ability to manage multiple tasks concurrently.
