POSITION SUMMARY
Reporting to the CEO / Registrar, the Executive Coordinator provides high-level administrative and operational support to the CEO / Registrar and the Marketing and Events Manager. The Executive Coordinator ensures efficient operations of the Office of the CEO, ensuring seamless coordination of schedules, communications, executive-level initiatives and planning and execution of association events.
MAJOR ACCOUNTABILITIESExecutive & Governance Support (40%):
- Coordinates meetings, prepares agendas, meeting materials, presentations, and meeting minutes on behalf of the CEO / Registrar.
- Provides executive-level administrative support to the Board of Directors by coordinating the meetings of the board and related committees in accordance with Association’s by-laws and governance policies.
- Works closely with the CEO / Registrar to prepare materials for the meetings of the board and its committees including board reports, policy revisions, agendas, and minutes.
- Coordinates and supports completion of expense claims, financial reporting, year-end audit, etc.
- Draft professional correspondence and conduct light research as needed.
Marketing and Social Media Support (25%):
- Draft clear and engaging content for scheduled weekly newsletter and e-blasts for the association and partner organizations.
- Promotes CPHR Saskatchewan events, Association news, and partnerships, through effective and timely use of social media and other online platforms.
- Monitor online engagement and share insights with the team.
Event Planning (25%):
- Assist in planning and executing of all CPHR Saskatchewan events (both in-person and virtual) including the Annual CPHR Saskatchewan Conference, HR Forum, Professional Development events, and membership meetings to provide support and to connect with members, sponsors, and partners.
- Coordinate logistics including venue selection, catering, audio/visual setup, etc.
- Represent CPHR Saskatchewan at student and career fairs, and community outreach events.
Broader Administrative Support (10%):
- Provides administrative support to other areas of the team, as needed.
- Be a responsive, trusted team member ready to help where help is needed
QUALIFICATIONS, SKILLS & EXPERIENCE
- Post-secondary education in Business or related field.
- 1–3 years of relevant experience in administration, event coordination, or marketing
- In-depth knowledge of Microsoft Office software and virtual collaboration tools, including Teams, Word, Excel and SharePoint.
- Excellent interpersonal, verbal and written communication skills.
- Strong attention to detail, time management, and adaptability in a fast-paced environment.
- Deals diplomatically with sensitive matters while exercising sound judgment, respect and discretion, maintaining confidentiality, tact and respect at all times.
- Demonstrated ability to foster relationships and partnerships with internal and external stakeholders.
- Presents a positive and professional image of the Association and Office of the CEO to all members, suppliers, inquiries, and other interactions.
- Some overnight travel within Saskatchewan may be required; a valid driver’s license is an asset.
