Position Summary
The HR Coordinator supports the effective execution of human resources functions across the employee lifecycle, including recruitment, onboarding, benefits, disciplinary processes, terminations, and HR systems. This role ensures day-to-day HR operations are organized, documented, compliant, and aligned with organizational standards and legislative requirements.
Core Responsibilities1. Recruitment & Onboarding
- Manage job postings, pre-screening, and interview coordination
- Prepare and issue offer letters and new hire documentation
- Facilitate onboarding, benefits orientation, and system setup
2. Employee Data & Documentation
- Maintain accurate digital employee records
- Ensure completion of compliance documents (e.g., policy acknowledgments, certifications)
- Support internal file audits and records retention
3. Benefits Administration
- Assist with benefit plan enrollment and documentation
- Track eligibility, probation periods, and coverage changes
- Coordinate benefit-related inquiries and employee follow-up
4. Disciplinary & Termination Support
- Document progressive discipline actions and update tracking boards
- Process terminations and exit documentation
- Schedule and document exit interviews
5. HR Systems & Projects
- Maintain and optimize HR workflow boards in Monday.com
- Support automation and tracking of tasks
- Contribute to HR initiatives, SOP updates, and policy reviews
Required Skills & Knowledge
- Solid understanding of HR best practices and Ontario employment legislation
- Experience using HRIS tools, scheduling systems, and Monday.com
- Strong organization, communication, and documentation skills
- High discretion in handling confidential information
- Ability to work independently and collaboratively in a fast-paced environment
Qualifications
- Diploma or Degree in Human Resources, Business Administration, or related field
- 2–3 years of HR experience, preferably in coordination or generalist support
- HRPA membership or CHRP candidate preferred
Key Performance Indicators (KPIs)
- Timeliness of onboarding and documentation completion
- Recruitment process cycle time
- Accuracy and completeness of employee records
- Compliance with HR process deadlines (e.g., ROEs, audits)
