Are you a highly organized and proactive administrative professional who thrives in a fast-paced environment? The City of Edmonton is looking for a Program Administrator to play a critical role in supporting seasonal hiring for the Parks and Roads Services branch. You will be at the centre of a dynamic process, acting as a key liaison between various internal teams and external candidates. This is more than a clerical position—you will make decisions and build partnerships that ensure the successful and efficient recruitment of over 800 seasonal employees each year. Your work will directly impact our operations and help us deliver essential services to Edmontonians. What will you do?

  • Coordinate and Execute High-Volume Recruitment: Lead and coordinate seasonal hiring activities for the Parks and Roads Services branch, including organizing interview fairs and monitoring the selection of shortlisted candidates
  • Lead Collaboration Relationships: Serve as the main point of contact for internal partners such as the Branch Operations Leadership Team, Talent Acquisition, Onboarding, Fleet Safety and Inside Information, ensuring a consistent and effective recruitment process. You will also resolve issues and provide solutions as they arise
  • Supervise and Support Staff: Recruit, train, and supervise temporary clerical staff to assist with onboarding new hires and other administrative functions. You will also provide coaching, set performance standards, and approve time entry for your team
  • Ensure Compliance and Process Integrity: Manage confidential and sensitive information, audit documents, and ensure compliance with the City's policies, collective agreements, and relevant legislation like FOIP
  • Recommend and Implement Improvements: Identify and propose process improvements to create a more consistent and efficient recruitment approach

Qualifications:

  • Completion of Grade 12 or an equivalent level of education
  • A minimum of three (3) years of experience in a related field, such as coordination, administration, and/or recruitment

Assets:

  • Experience in a supervisory capacity
  • A background in high-volume recruitment

Skills required for success:

  • Excellent time management, analytical, and organizational skills, with a strong attention to detail
  • Demonstrated ability to work under pressure with tight, competing deadlines
  • Strong critical thinking and problem-solving skills, with the ability to make quick decisions and take action
  • Excellent written and verbal communication skills
  • A high degree of professionalism, integrity, and confidentiality
  • Demonstrated ability to build and maintain effective working relationships with diverse groups of people
  • Ability to work both independently and collaboratively within a team environment
  • Proficiency with Google applications
  • Alignment to our Cultural Commitments and Leadership Competencies ( https://bit.ly/4brRrXm )
  • Embracing a culture of equity, diversity, reconciliation, and inclusion

Conditions of Employment:

  • Candidates are required to hold a valid Alberta Class 5 driver's licence (or provincial equivalent) or higher. Obtaining and maintaining a City Driver's permit is a requirement of this position

Work Environment: The work is performed in an office setting and is classified as sedentary. You will be exposed to a fast-paced environment with high-volume work, constant deadline pressures, and the need to manage many competing priorities. The City of Edmonton values applicants with a diverse range of skills, experiences and competencies, and encourages you to apply.
