POSITION SUMMARY

The Talent Acquisition Coordinator’s primary responsibility is to assist the Talent Acquisition department throughout the entire recruitment lifecycle by providing administrative and project support. The Talent Acquisition Coordinator is pivotal in ensuring a seamless, efficient recruitment experience for candidates and internal stakeholders and as such positive nurturing relationships are key. This role is essential to achieving consistency of compliance, accuracy, due diligence efficiency in candidate management and onboarding processes. Exceptional attention to detail, organizational skills, sense of urgency, and ability to handle multiple tasks is crucial in driving the success of the talent acquisition function. The TA Coordinator is data-driven, enabling evidence-based decision-making for enhanced talent acquisition outcomes.

MAIN RESPONSIBILITIES

  • Review employees on permanent accommodation prior to posting vacancy.
  • Draft and post all CHEO postings to CHEOs internal and external sites, managing translation of postings.
  • Manage and leverage job postings on external channels promptly as per the SLAs.
  • Collaborate with the Talent Acquisition Specialists to maintain and update the ATS to ensure accurate candidate records.
  • Support Talent Acquisition Specialist with applicant screening when required.
  • Schedule interviews between external candidates and hiring managers, ensuring that all parties involved are informed of the details and any changes.
  • Arrange virtual or in-person interviews and handle logistics such as booking meeting rooms, video conferencing tools, and coordinating travel arrangements, when necessary, as directed by the TA Specialist.
  • Coordinate due diligence process for external candidates, including providing directions and follow up with external third-party vendors and candidates which may include assessments, interview guides, reference checks, background checks, employment offer package and collection of all documentation required for the position.
  • Ensure all candidates’ required documents for onboarding are completed accurately and promptly.
  • Ensure adherence to data privacy regulations and equal employment opportunity (EEO) guidelines.
  • Provide guidance and consultation to managers on recruitment processes, procedures, and best practices as requested.
  • Validate that all new external hire has an accurate and complete employee file.
  • Supporting Internal moves and collective agreement.
  • Understand the terms and conditions specified in the existing collective bargaining agreements related to recruitment, hiring, and employee selection.
  • Adhere to CBA requirements when advertising job openings, include prioritizing internal union members' applications before considering external candidates.
  • Manage the internal job bidding process diligently to ensure fairness, transparency, and avoid grievances.
  • Ensure that all hiring practices align with the CBA's provisions, including seniority rights, job posting guidelines, and preferential hiring practices for union members.
  • Facilitate internal moves by providing accurate data, complying with the CBAs' stipulations, and ensuring smooth transitions for employees.
  • Ensure Worksheets for Union positions are completed, documented, and stored to support potential grievances.
  • Support talent acquisition initiatives as requested to support department and organization objectives.
  • Support the coordination and participate in recruitment events, job fairs, and campus recruiting activities to attract potential talent as directed by the Talent Acquisition Sourcing Specialist.
  • Ensure the accuracy and completeness of data in the Workday Applicant Tracking System (ATS).
  • Create and pull regular reports on key recruitment metrics as required by the Talent Acquisition Manager.
  • Present error free reports to the talent acquisition team, leaders, and other stakeholders to provide insights on recruitment performance.
  • Interpret the data to provide meaningful information demonstrating the talent acquisition impact.
  • Use data insights to recommend process improvements, enhance candidate experience, and streamline recruitment workflows.
  • Escalate issue as required, consult, collaborate, and follow policies, procedures, and processes.
  • Perform work in accordance with the provisions of the Occupational Health and Safety Act and Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
  • Perform other related duties as required and assigned.

QUALIFICATIONS

  • Post Secondary education in human resources, Business Administration, or related fields (or equivalent work experience) complimented by a human resources designation (Essential)
  • Minimum of two (2) years of experience in high volume, fast-paced environments supporting multiple departments/leaders (Essential)
  • Healthcare human resources admin support experience (Preferred)
  • Excellent communication and interpersonal skills to effectively engage with candidates and stakeholders. (Essential)
  • Customer service mindset (Essential)
  • Analytical mindset with the ability to interpret data and metrics to drive sourcing decisions. (Essential)
  • Demonstrated ability to manage multiple priorities and meet tight deadlines in a fast-paced environment. (Essential)
  • Advanced proficiency with applicant tracking systems (ATS), Microsoft Office tools (Word, Excel, PowerPoint) and other HR software. (Essential)
  • Ability to present complex data in a clear and understandable manner to stakeholders at various levels of the organization. (Essential)
  • Ability to work both independently and collaboratively, consistently delivering positive results. (Essential)
  • Criminal Record Check (Level 1) (Essential)
  • Bilingualism (French/English) (Preferred)
