Position Summary
The Payroll & Benefits Administrator is responsible for ensuring accurate and timely processing of payroll for all Canadian locations and supporting benefit administration across the organization. This role maintains employee records, ensures compliance with federal employment standards, and provides exceptional support to employees regarding payroll, benefits, and related inquiries.
Key ResponsibilitiesPayroll Administration
· Process weekly payroll for hourly and salaried employees using Payworks.
· Verify timesheets, overtime, vacation, sick time, leaves, and premiums in accordance with the Canada Labour Code.
· Maintain accurate employee information, pay rates, deductions, garnishments, and employment status changes.
· Conduct pre‑ and post‑payroll audits to ensure accuracy.
· Prepare Records of Employment (ROEs) and support year-end processes (T4, T4A, PD7A).
· Reconcile payroll reports and resolve discrepancies in a timely manner.
Benefits Administration
· Administer group benefits and group retirement (Canada Life), including enrollments, changes, and terminations.
· Coordinate long-term disability, life insurance, and health/dental plan updates.
· Track eligibility dates (e.g., probationary period, waiting periods).
· Assist employees with claims inquiries and provide guidance on available benefits.
· Reconcile monthly benefits invoices and ensure accuracy of deductions.
Pension / Group Retirement Services (GRS) Administration· Administer the company’s Group Retirement Savings Plan (GRS) through Canada Life.
· Process employee enrollments, contribution changes, and terminations in the pension system.
· Ensure accurate payroll deductions for employee and employer contributions.
· Maintain compliance with pension plan rules, eligibility timelines, and regulatory requirements.
· Assist employees with pension-related questions and support annual pension information sessions.
· Reconcile pension remittances to ensure timely and accurate submissions.
HR Support· Maintain accurate digital employee files in compliance with PIPEDA.
· Support onboarding and offboarding processes related to payroll and benefits.
· Provide exceptional customer service to employees and managers regarding payroll/benefits questions.
· Assist HR with reporting, audits, and compliance tasks.
Qualifications· Post-secondary education in Accounting, Payroll, HR, or related field.
· 2–4 years of payroll experience (preferably in a multi-site environment).
· Experience with Payworks is strongly preferred.
· Knowledge of federal employment standards (Canada Labour Code).
· Understanding of group benefits and retirement administration.
· Strong attention to detail, confidentiality, and accuracy.
· Excellent communication skills and ability to work with sensitive information.
· Strong Excel skills (vlookups, pivot tables are an asset).Key Competencies· High attention to detail and accuracy
