- Provide administrative support to the Chief Communications & Marketing Officer (CCMO) including managing calendars and scheduling meetings; composing, prioritizing, and handling confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; expense reporting and reconciliation; and compiling documents and marketing presentation decks for meetings.
- Work closely and effectively with the CCMO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Research, prioritize, and follow up on projects as directed by CCMO including those where coordination with multiple stakeholders is needed. Determine appropriate course of action, referral, or response under the direction of the executive.
- Liaise with business lines, project leads, and communication teams to ensure alignment across key marketing initiatives and executive deliverables.
- Support the CCMO in coordinating with external marketing agencies, vendors, and partners by managing timelines, contracts, and communications.
- Prepare briefing materials, talking points, presentations, and other documents as required by executives.
- Handle sensitive information and materials with a high degree of confidentiality. Draft confidential internal communications and strategic decks on behalf of the CCMO with attention to tone and messaging.
- Acts as a liaison between the CCMO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management.
- Prioritize tasks, handling matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Handle all aspects of meeting support including logistics, agendas, and detailed meeting minutes.
- Manage schedules and coordinate travel for the CCMO’s employees.
- Manages a variety of special projects including coordinating events and staff meetings.
- Coordinate service, recognition, and milestone rewards and recognition activities as required.
- Management of personal tasks as requested and required.
WHAT WILL YOU NEED?
- Post secondary education in business administration, communications, marketing, or a related field preferred.
- A minimum of 5+ years of Executive Assistant experience supporting C-suite or senior executives, preferably in marketing, communications, public relations, or media-focused environments.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Sharepoint and Concur. Familiarity with tools like Adobe Creative Suite or marketing project management tools are a strong asset.
- Exceptional written and verbal communication skills, with experience drafting and editing executive-level correspondence, presentations, and memos.
- Demonstrated success in managing complex calendars, travel logistics, and expense reporting with accuracy and foresight.
- Experience working with or coordinating across marketing and creative teams, vendors, agencies, or cross-functional business units.
- Proficient in preparing polished, executive-ready presentations and briefing materials.
- Strong organizational skills that reflect an ability to perform and prioritize multiple tasks flawlessly with exceptional attention to detail.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate a high level of customer service and sense of urgency with responses.
- High level of initiative and ability to anticipate executive needs and proactively solve problems with a high degree of accountability.
- Excellent interpersonal skills with an ability to build relationships with stakeholders, including staff, and external partners.
- High level of professionalism with an ability to pivot in a changing environment with strong critical thinking and problem-solving capabilities.
