Tammy Boyko and Carlan Wilbon with Aplin are seeking a highly organized Administrative Assistant to join their team in Saskatoon. This is an excellent opportunity for an administrative professional who thrives in a fast-paced environment, enjoys supporting senior stakeholders, and can confidently manage multiple priorities while maintaining confidentiality. Responsibilities
- Answer and direct incoming phone calls in a professional manner
- Coordinate and schedule meetings, appointments, and conference calls
- Manage calendars and send meeting invitations through Outlook
- Arrange virtual meetings using Microsoft Teams, Webex, and Zoom
- Respond to and prioritize incoming email requests
- Support communication and coordination with Board Members and senior stakeholders
- Maintain confidential records and handle sensitive information with discretion
- Prepare meeting materials and ensure participants have required documentation
- Assist with general administrative duties and special projects as required
- Ensure schedules, meetings, and communications are organized and up to date
Qualifications
- 3 plus years of experience as an Administrative Assistant supporting senior leadership
- Strong proficiency with Microsoft Outlook, including calendar management
- Experience using Microsoft Teams, Webex, and Zoom
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Ability to handle confidential information with professionalism and discretion
- High attention to detail and accuracy
- Technically savvy and comfortable learning new systems and technology
- Self-starter with the ability to work independently and manage competing priorities
