Our client, a commercial real estate company in Ottawa, is seeking a Property Administrator to join their team on a full-time, permanent basis.
The successful candidate will play a key role in supporting the day-to-day operations of a portfolio of commercial properties, ensuring smooth administration, exceptional tenant service, and accurate financial recordkeeping. This position is ideal for a detail-oriented professional with a strong background in property administration and a passion for the real estate industry.
Roles and Responsibilities
- Provide administrative support to Property Managers and the broader real estate team.
- Prepare, process, and track tenant correspondence, lease documents, and service contracts.
- Manage accounts payable and receivable, including coding invoices and reconciling statements.
- Coordinate tenant move-ins and move-outs, ensuring proper documentation and communication.
- Maintain accurate and up-to-date tenant and property files.
- Assist with the preparation of operating budgets, forecasts, and financial reports.
- Liaise with vendors, contractors, and tenants to address inquiries and ensure timely resolution of issues.
- Support property inspections, maintenance scheduling, and compliance documentation.
- Contribute to process improvements and ensure adherence to company policies and procedures.
Qualifications and Skills
- Minimum 2 years of experience in property administration within the commercial real estate or property management industry.
- Post-secondary education in business administration, real estate, or a related field (an asset).
- Strong knowledge of lease administration, accounting practices, and tenant coordination.
- Excellent organizational skills with high attention to detail and accuracy.
- Proficient in MS Office (Word, Excel, Outlook); experience with property management software is an asset.
- Strong written and verbal communication skills.
- Proven ability to manage multiple priorities in a fast-paced, on-site office environment.
- Professional demeanor and customer service mindset.
