Airswift is seeking a Document Control Specialist to join a major Oil and Gas company in Edmonton, AB on a 1-year contract with possibility of extension. The successful candidate will be responsible for managing all aspects of document control within the assigned project scope.
Overview
This role ensures project documentation is accurate, compliant, and properly managed in accordance with company information management standards, contractual requirements, and project plans. The position supports efficient information flow across project stakeholders and contributes to capital efficiency on stewarded projects.
Qualifications
- University degree preferred, ideally in a technical discipline
- 3–5+ years of related experience in engineering documentation preferred
- Experience in operations and/or project technical support, including document management systems and IT tools
- Strong written communication skills with the ability to create procedures, presentations, and engage effectively with project teams
- Working knowledge of Information Management requirements across all project phases
- Experience with Electronic Document Management Systems (EDMS); familiarity with VAULT is an asset
- High proficiency in document control tools, databases, and administrative processes
- Data entry, plotting, and scanning experience
- Advanced computer skills including Microsoft Word, Excel, Outlook, SharePoint, OneNote, and PDF tools
- Experience with Autodesk VAULT, AutoCAD, ACONEX, and Bluebeam PDF is considered an asset
- Excellent English language proficiency (written, reading, and verbal)
- Ability to lift and carry drawing rolls and binders, and to walk and navigate stairs for document delivery
- Valid Alberta Driver’s License and ability to drive a company vehicle to onsite control rooms and nearby offsite facilities
Responsibilities
- Implement the Information Management Plan and supporting document control procedures
- Comply with the Company Records Management Program
- Understand and enforce Information Management requirements outlined in Project Plans, Contract Coordination Procedures, and Purchase Orders
- Perform quality checks on engineering and supplier deliverables (document number, title, revision, date, etc.) to ensure compliance with project requirements; report deficiencies to the Information Management Lead
- Confirm the existence, accuracy, and suitability of Master Document Registers (MDRs), Supplier Master Document Registers (SMDRs), and Document Distribution Matrices (DDMs); update and maintain these registers as required
- Ensure contractor and supplier documentation meets contract requirements by conducting compliance checks, initiating corrective actions, and reporting deficiencies
- Report progress on deliverables, including look-ahead schedules and overdue documentation reports
- Actively participate in project meetings and anticipate information management needs
- Conduct routine gap analyses of contractor document control procedures against company requirements; document results and recommend improvements
- Identify differences between contractor Electronic Document Management Systems (e.g., ACONEX) and the company system (VAULT); communicate findings to the Project Information Management Lead and Common Skill Center
- Validate contractor deliverables and associated MDR/SMDR metadata to support accurate data transfer into Company VAULT
- Support the Documents for Operations (DFO) Coordinator and Project Information Management Lead as required
- Promote and support capital efficiency initiatives across assigned projects
