Job Description:

On behalf of our Healthcare Client, Affinity Healthcare Solutions is seeking a detail-oriented Procurement Coordinator with experience in public sector procurement and contract management. This role supports vendor and contract activities across the full lifecycle, including request intake, contract drafting, compliance oversight, audit preparation, and renewal coordination.

Responsibilities:

  • Contract Intake & Requirements Gathering: Collaborate with project stakeholders to intake contract requests, identify procurement requirements, and ensure completion of necessary documentation, forms, and templates.
  • Contract Authoring & Quality Assurance: Support the drafting of procurement documents such as purchase requisitions, RFPs, and statements of work. Ensure alignment with procurement standards and perform quality assurance reviews.
  • Approvals, Negotiations & Execution: Facilitate the approval process with designated signatories and guide contracts through procurement checkpoints. Oversee contract execution and manage administrative tasks across the procure-to-pay cycle.
  • Contract Management & Amendments: Monitor and maintain active contracts to ensure continuity of vendor services. Proactively manage amendments and provide guidance on optimal approaches.
  • Renewals & Off-boarding: Coordinate with teams to anticipate contract renewals and vendor off-boarding, ensuring sufficient lead time for negotiations and amendments.
  • Vendor Identification & Qualification: Assist in identifying and qualifying vendors in accordance with established procurement protocols.
  • Vendor Review & Selection: Support the evaluation and selection of vendors in collaboration with project teams.
  • Vendor Onboarding & Off-boarding: Facilitate onboarding processes including account setup, access provisioning, timekeeping, and compliance with contractual obligations. Support off-boarding activities as needed.
  • Administrative Oversight: Manage additional procurement-related administrative responsibilities as assigned.
  • Process Improvement: Provide expert advice on enhancing procurement workflows and identifying opportunities for operational efficiency across procurement, finance, and project delivery functions.
  • Training & Mentorship: Train and mentor staff on procurement processes including intake, authoring, contract management, and renewals.
  • Task Management: Lead and coordinate priority procurement tasks with team members to ensure timely completion.
  • Ad-hoc Expertise: Offer subject matter expertise on procurement matters to related capital or operational initiatives as required.
  • Engagement Scope: This is a variable full-time engagement over 24 months, with a maximum of 3,900 hours across two roles (Procurement Coordinator – PC1 and PC2).

Qualifications:

Mandatory:

  • Strong command of Microsoft Excel, with no requirement for programming such as macros or Visual Basic.

Preferable:

  • Experience in contract and vendor management lifecycle.
  • Experience in public sector procurement.
  • Working experience with hardware/software vendors & professional services
  • Strong written and oral communication in a business environment
  • Strong vendor relationship and inter-personal relationship skills;
  • Excellent organization and time management skills and highly organized
