Position Overview

We're seeking an Operations Coordinator to keep our team aligned and our business running like clockwork. You’ll work across every department—sales, logistics, customer success, and leadership—to make sure projects stay on track, operational processes are completed on time, and nothing slips through the cracks.

You’ll turn complexity into clarity, keep the day-to-day humming, and continuously refine and automate how we work. You’ll keep the day-to-day humming, design and refine processes, automate the repetitive, and push “good” to ridiculously efficient. Key ResponsibilitiesTeam & Operations Support

  • Keep our playbook sharp by maintaining and updating company processes, templates, and SOPs so everyone’s running on the latest version.
  • Own the flow of internal coordination and communication, ensuring priorities turn into action and nothing gets lost in the shuffle.
  • Act as the systems lead, managing software tools, logins, and admin settings to keep the team connected and efficient.
  • Coordinating travel, conferences, logistics and other company events that keep our brand showing up strong.
  • Help build the team through hiring, onboarding, and setup so every new teammate hits the ground running.
  • Keep us organized with clean, easy-to-find internal documentation and shared company resources.
  • Back the leadership team on ad hoc projects that drive strategy, structure, and momentum forward.

Accounting & Finance:

  • Supporting bookkeeping, reconciliations, and expense tracking so our finances stay accurate and up to date.
  • Handle the flow of money by managing customer invoicing and vendor payments to keep cash moving smoothly.
  • Chase opportunities by applying for government grants and loans, and keep documentation organized along the way.
  • Stay on top of spending by tracking contractor payments, budgets, and expense summaries to keep everything transparent and on target.
  • Keep an eye on efficiency by maintaining a clear overview of software spend, subscriptions, and seat management.

Compliance and Governance:

  • Keep us onside by ensuring company policies and processes align with legal and regulatory requirements.
  • Stay tax-ready by supporting compliance and keeping required filings accurate and on time.
  • Oversee the details by managing WorkSafe BC and other local or regional business requirements.
  • Keep our records up-to-date by maintaining the corporate registry and tracking licenses, permits, and insurance.
  • Track and update terms and conditions, product warranties, and related documentation.

Qualifications & Skills:

  • Bachelor of Business Administration (BBA) or similar degree
  • 1–2 years of experience in operations, administration, or coordination
  • Strong understanding of basic accounting and financial organization
  • Familiar with invoicing and accounting software, customer databases, and workspace administration tools
  • Highly organized with strong attention to detail and follow-through
  • Clear communicator who keeps teams aligned and informed
  • Curious, resourceful, and eager to grow in a fast-moving environment
  • Bonus: Experience in tech, hardware, or hospitality
